Overview Of Analysis
DEFINE OBJECTIVES
Determine what is important to your publications and organization and make a list of items that may include timelines, production schedules, mailing and distribution procedures, new technologies, or payment terms. This list tells the printer the items that you might find significant and can help establish the true value of the prices offered.
If a printer meets all your objectives and offers competitive pricing, their proposal may be more appealing compared to another printer who may offer lower prices but does not fulfill your requirements.
INFORMATION GATHERING
The first step is to gather an accurate picture of your current spend. The most desirable format would be to obtain hard copies of invoices and price schedules that include all detailed specifications to ensure an accurate comparison. A Request for Quote, is next. We create a package of information to give to the selected printers. This package will include information, mechanical specifications, production schedules, growth projections, distribution schedules and a sample issue of each publication with the appropriate blanked out invoices and work orders.
This package also includes a list of information that is requested from the printer. This list includes detailed price schedules, pro forma invoices for the sample issues, production schedules, equipment lists, printed samples and references.
DEFINE QUALIFIED PRINTERS
We will help define qualified printers with the client. The selected printers will be asked to quote on the printing of the publications. The current contacts that client may already have will also be included. Once all quotes and correspondence is in and we have done our preliminary analysis we will meet with client to discuss our findings and to get direction from them on how they would like us to proceed.
COST ANALYSIS
Very thorough cost analysis are performed based on all the information we gathered. The proposals will be compared to the current printers revised costs.
The sourcing of paper is also part of the project. We look at all options from buying from the printer, to supplying to the printer, thorough various paper merchants or brokers. Paper consumption rates for both covers and body stocks are applied and analyzed very closely.
A postal cost analysis is performed. Duplicate mailing lists along with copies of 3541 postal forms and/or Mail.Dat files will be sent to each printer to achieve the fastest postal delivery with the most economical cost. Newsstand distribution analysis is also performed.
As prices are revised, updated analysis are submitted as the project progresses. Prices are never discussed or negotiated between the printers. The analysis will offer us a cost comparison on every category and detail.
Working with the client staff, we will select the final printers. As this process takes place their proposals are analyzed for schedules, costs, and the fulfilling of client requirements and priorities. A final report of advantages and disadvantages of each printer will be reviewed and evaluated and recommendations will be submitted.
PRINT FACILITY VISITS
Werline Lithographic Services and your selected staff members will be invited to tour the final printers to meet their staff, check their equipment, and workflows, and get an overall impression of their operations.
DEFINING CONTRACTS
The printers contracts will be amended to protect the publisher from nonperformance, offer escape or termination clauses, insure against damage of supplied materials, define printer obligations.
